Donor Support Coordinator - Job Description

Department: Administrative
Immediate Supervisor: Controller
Status: Full-time
Availability: Open for Immediate Start
Salary Range: $33-$36k based on experience

General Overview
The donor support coordinator is a full-time position that supports foundation donors on an external basis and CEO and Controller on an internal basis. Primary point of contact for all donors that support Sigma Chi Foundation, it is important this person is highly organized, well-spoken, and has the ability to deal with donors on all levels and bring to upper management any issues immediately.


  • Main contact for donors on all related issues regarding processing of gifts and pledges.
  • Maintaining a high-level of donor customer service is the top priority
  • Maintain log of donor's calls and emails, for weekly report to gift officers and team
  • Process all charitable gifts and pledges, ensuring that each donor's intent is properly recorded within 24 hours of time received (exception of fiscal and calendar year end due to holidays)
  • Maintain structure for IMIS reports used for metrics
  • Manage member contact information updates as needed
  • Assist with providing reports of charitable giving upon request
  • Administer the Foundation's monthly metrics, including the provision of standard reports on a monthly and quarterly basis, offer analysis and make recommendations to leadership
  • Send quarterly pledge payment reminders approved by Controller
  • Where appropriate, provide data to outside parties upon approval by leadership
  • Perform other duties as requested by Controller or CEO

Education and Experience Requirements

  • High school degree
  • Previous customer service and data entry experience desired
  • Knowledge of Microsoft software
  • Knowledge of IMIS software a plus

Minimum Qualifications and Skills

  • Strong sense of initiative and ability to self-motivate
  • Detail-oriented, organized, persistent, and thorough
  • Exemplary verbal and written customer service and interpersonal communication skills
  • Ability to prioritize tasks and meet deadlines
  • Proficiency with Microsoft Office Suite
  • Customer service experience preferred

Working Conditions

  • Based out of Sigma Chi International Headquarters office in Evanston, Illinois
  • Office hours are 8:30 a.m. to 5 p.m. Monday through Friday.
  • The office culture is relaxed and open minded about regular change and growth.
